Program Assistant

Following the SENIA mission, ensure the smooth functioning of the SENIA Academy’s online platform, maintain course materials, and communicate with participants and facilitators.

Responsibilities

  • Course Management:
    • Share course information with the Virtual Assistant for monthly course cloning.
    • Check and update cloned courses to ensure they are ready for registration.
    • Monitor enrollment numbers and update registration settings accordingly.
    • Maintain accurate course tracking documents.
    • Follow up with inactive course participants to encourage progress and completion.
    • Archive completed courses.
  • Facilitator & Participant Communication:
    • Schedule and communicate with course facilitators regarding timelines and expectations.
    • Create and share grading documents with facilitators to ensure efficient grading.
    • Send out monthly course certificates for Teaching Assistant (TA) courses, Level One courses, and Level Two courses.
    • Follow up on group registrations as directed by the DED.
  • Certificate & Course Maintenance:
    • Maintain and update certificates on Canva.
    • Share monthly certificate details with the Virtual Assistant for development and distribution.
    • Create and share in-service group courses and scripts as needed.
    • Check and update resource links as directed by the DED or Director of Professional Learning.
  • Platform & Content Management:
    • Update SENIA Academy platform content as needed, ensuring accuracy and relevance.
    • Assist with similar program and platform tasks as requested by the DED or Director of Professional Development.
  • Data Management:
    • Maintain graduate lists and share with the Virtual Assistant and other relevant staff each month.
    • Track and update course participation and graduation data.

Qualifications:

  • Bachelor’s Degree or higher in project management, inclusive education, or related field.
  • Willingness and ability to use Google Drive, Asana, Slack, Canva, and conference platform, Whova
  • Superb organizational and time management skills
  • Excellent communication skills
  • Ability to be flexible with hours

Reports to:

  • Executive Director, Lori Boll, and Deputy Executive Director, Andrea Lillis.

Commitment:

  • This is a part-time, remote position.

Salary:

  • Hired on a contractor basis at 20 hours per week, USD 20,000 per year
